Aftersales Administrating Assistant

Due to our success and expansion, Hippo Motor Group are recruiting for an enthusiastic individual to join our Aftersales Department as an Administrating Assistant.

The chosen candidate will join a busy department and will be crucial in ensuring the department is running effectively. This is an excellent opportunity for someone currently doing a Business Admin Apprenticeship or for somebody looking to begin their career and progress within a growing company.

Around 800 vehicles a month are prepped at our busy Aftersales Department so we are looking for someone that is reliable, can work to their own initiative and take responsibility for their workload.

  • Invoicing the Workshop and Bodyshop completed jobs
  • Occasionally ordering parts
  • Assisting with customer complaints
  • Dealing with supplier invoices and statements
  • Liaising with manufacturers and sub-contractors
  • Assisting the Logistics Department during busy periods

 

Retail Service/Bodyshop

  • Assisting with all areas of the retail process
  • Taking customer enquiries
  • Liaise with relevant departments and the customer to book the work in
  • Maintain communication with the relevant departments to follow up on the progress and keep the customer up to date when required
  • Offer additional service work
  • Helping with collecting full payment for retail work
  • Assisting with administration related to the process
  • Helping with the handover of the vehicle when the customer collects
  • Appraise and record vehicle condition upon handovers, e.g. dents, marks, mileage and fuel etc on an acceptance note and support with video and charge for any additional damage or over mileage.

  • Excellent customer service skills
  • Planning and organisation are essential
  • Efficient working style
  • Strong computer literacy skills
  • Previous Automotive Industry experience would be beneficial but not essential
